Invoicing

Recurring Billing

Set up recurring invoices for maintenance contracts and repeat services, pick the billing frequency, and manage auto-send, pausing, and template edits.

At a Glance

  • Recurring billing in WorkSnap Pro runs through Service Agreements
  • Sell a customer a plan and each membership invoice is created on schedule as a draft
  • There is no separate recurring-invoice screen; manage the schedule from the agreement

Bill a customer on a schedule for maintenance plans, memberships, and retainers by selling them a Service Agreement.

How It Works

  1. Define a service plan with the price, billing frequency (weekly, bi-weekly, monthly, quarterly, or yearly), term length, included visits, and any member discount. See Service Plans.
  2. Sell the plan to a customer and Activate the agreement. See Selling and Managing Agreements.
  3. Membership invoices are created on schedule as drafts. Each one appears in your Invoices list with the agreement's name as the line item, so you can review it before sending. Nothing is emailed until you send it.
  4. Send each invoice by email or text, the same as any other invoice. See Sending Invoices.

Membership invoices are due 30 days after they are created, and the first one arrives at the next billing date after activation.

Plain Subscriptions

A service plan does not need visits or a discount. Set Visits per term to 0 and leave Member discount at 0 to bill a flat monthly, quarterly, or yearly amount.

Pausing and Stopping

Need Do this
Skip billing for a while Open the agreement and tap Pause, then Resume later
Stop for good Tap Cancel. This is final
Change the price Cancel, update the plan, and sell a new agreement

Where to See Generated Invoices

Every membership invoice is a normal invoice. Find them in Invoices, filtered by the customer, or on the customer's page under their invoices.

Plan Availability

Service Agreements are a paid feature. Compare plans on the pricing page.

Common Questions

Can I set up a recurring invoice without a service agreement?
Not today. Service Agreements are the way to bill a customer on a schedule. A plan with zero visits and no discount works as a plain subscription.
Can I pause recurring billing temporarily?
Yes. Open the agreement and tap Pause. Tap Resume when you are ready. Cancelling ends it for good.
How do I change the amount?
Cancel the agreement and sell a new one from an updated plan. Invoices already created keep their amounts.
