Selling and Managing Agreements
Sell a plan to a customer, activate it, and manage billing, visits, pausing, and cancellation from the agreement page.
At a Glance
- Sell an agreement from a customer's page or from Service Agreements > Sell Agreement
- A new agreement starts as a Draft; tap Activate to start billing and visit tracking
- Pause, resume, cancel, or reactivate an expired agreement from its page
A service agreement enrolls one customer in one of your service plans. Once active, WorkSnap creates the membership invoices on schedule, counts the visits in each term, and applies member pricing to that customer's other work.
Selling an Agreement
From the customer: open the customer, find the Service Agreements card, and tap Sell.
From the list: go to Service Agreements and tap Sell Agreement.
Either way, you land on Sell a Service Agreement:
- Under Customer, confirm or choose the customer
- Under Plan, choose the Service plan. Its price, visits, discount, and benefits appear so you can double-check
- Under Term, set the Start date. WorkSnap shows when the first term runs, for example "First term runs Sep 5, 2026 to Sep 5, 2027"
- Leave Auto-renew on so the agreement rolls into a new term automatically when this one ends. Turning it off does not end the agreement by itself today; see One-term agreements below
- Add Notes specific to this customer if you like
- Tap Create agreement
The agreement is created as a Draft. Nothing bills and no visits are counted until you activate it.
Activating
Open the agreement and tap Activate. From that moment:
- The current term begins and included visits are counted
- Billing is set up at the plan's price and frequency
- The customer's new estimates and invoices get the member discount
Agreement Statuses
| Status | Meaning |
|---|---|
| Draft | Created but not sold yet. No billing, no visits |
| Active | Billing and visits are running |
| Paused | Billing suspended, agreement kept |
| Expired | Term ended without renewal |

Filter the agreements list by status with the pills at the top: All, Draft, Active, Paused, Expired, Cancelled.
The Agreement Page
| Card | What it shows |
|---|---|
| Terms | Price and frequency, term length, start date, end date if set, auto-renew, member discount |
| Visits this term | How many included visits remain, and when the term runs |
| Benefits | The perks copied from the plan |
| Scheduled visits | The current term's visits, with Generate visits and Skip |
| Billing | How often the plan bills and at what price |
| Notes | Anything you wrote when selling it |
How Billing Works
Activating an agreement sets up recurring billing at the plan's price. Each membership invoice is created as a draft, so you can look it over before it goes out. Find it in your Invoices list with the agreement's name as the line item, then send it by email or text like any other invoice.
Membership invoices are due 30 days after they are created. The first one is created at the next billing date after activation, not on the day you activate. After that, the schedule repeats on the same weekday (weekly and bi-weekly plans) or the same day of the month (monthly, quarterly, and yearly plans) as the agreement's start date.
Billing pauses while an agreement is Paused and stops when it is Cancelled or Expired.
Visits
Each term includes the number of visits set on the plan. WorkSnap creates the term's visits automatically each night once the agreement is active, or tap Generate visits to create them now. Tap Skip on a visit the customer did not need; skipped visits give the allowance back.
The Visits this term card and the Customer Portal both show how many visits remain. Unused visits expire at the end of the term.
To do the work, create a job for the customer as usual. Visits are a count of what the plan includes; they do not appear on your schedule by themselves.
One-Term Agreements
The Auto-renew switch records whether you intend to renew, but an agreement created with it off still rolls into the next term until you act. To sell a plan for one term only, note the term end date shown when you sell it, then tap Cancel on the agreement when that date arrives. Cancelling stops billing and member pricing the same day.
Pausing, Resuming, and Cancelling
| Action | When available | Effect |
|---|---|---|
| Pause | Active | Billing stops, member pricing stops, agreement is kept |
| Resume | Paused | Billing and member pricing start again |
| Cancel | Draft, Active, or Paused | Ends the agreement today. Cannot be undone |
| Activate | Expired | Starts a new term on the same plan terms |
Cancel takes effect immediately without a confirmation step, so open the right agreement first.
What the Customer Sees
In the Customer Portal, the customer sees each active, paused, or expired agreement with the plan name, the price and frequency, how many visits are left, the benefits, and when the current period ends. Draft and cancelled agreements are not shown. The customer cannot change the agreement from the portal.
Member Pricing on Other Work
While an agreement is Active, every new estimate and invoice you create for that customer gets the plan's discount automatically, labeled with the plan name, for example "HVAC Tune-Up Plan - 10%". See Discounts and Member Pricing.
If a customer has more than one active agreement, the most recently created one supplies the discount.
Read-Only on the Free Plan
On the Free plan you can view agreements but not sell, activate, pause, or cancel them. Each page shows a notice naming the plan to upgrade to. Compare plans on the pricing page.

What Happens Next
- 1Membership invoices are created on schedule as drafts for you to review and send
- 2Member pricing applies to the customer's new estimates and invoices
- 3The customer sees their plan, visits remaining, and period end date in the Customer Portal
Common Questions
- Are membership invoices sent to the customer automatically?
- No. Each membership invoice is created as a draft so you can review it. Open it from your Invoices list and send it the same way as any other invoice.
- What happens to unused visits at the end of a term?
- They expire. Visits do not carry over to the next term, and the customer sees the same note in the Customer Portal.
- Can I change the price of an agreement after selling it?
- Not on the agreement itself. Cancel it and sell a new agreement from an updated plan. Invoices already created keep their amounts.
